"Meeting recap" deliverable

Every client meeting ends with decisions, recommendations, questions, and next steps.

The challenge is making sure both you and your client leave with the same understanding of what happened.

A "Meeting recap" deliverable helps solve that by turning your meeting into a clear, professional document that clients can reference long after the meeting ends.

Rather than relying on handwritten notes or memory, you can send clients a polished summary within seconds.

How to create a "Meeting recap" deliverable

There are several ways to create a "Meeting recap" deliverable in Vega, but one of the easiest is directly from the meeting itself using the Sidebar AI assistant (read article: Sidebar AI assistant).

To do this, follow the ordered list below, or watch the part in Selah's video that goes over it:

  1. Open the meeting in Vega.

  2. Click the (+) icon at the top of your screen, then select New chat

  3. This will open the Sidebar AI assistant in a new chat thread that automatically understands the page you’re viewing.

  4. Create a Client deliverable by either:

    1. Clicking Client deliverable at the bottom of the Sidebar AI assistant next to the Send button, or

    2. If the Sidebar AI assistant isn’t expanded enough and you don’t see the Client deliverable button, click the (+) icon in the bottom-left corner of the Sidebar AI assistant and select Client deliverable.

  5. When the Generate deliverable card opens, select the "Meeting recap" deliverable template.

  6. Add any additional instructions or supporting documents if needed.

  7. Click Generate deliverable.

Because the meeting is already open, the Sidebar AI assistant automatically understands the context of the page you are viewing.

Following those instructions will give Vega direct access to the relevant meeting context, including:

  • linked contacts

  • meeting information

  • the transcript

  • the post-meeting analysis

  • other generated meeting outputs

This allows Vega to generate a much more complete and context-aware Meeting recap without requiring you to manually explain what the meeting was about.

Review before sharing

Before sharing the "Meeting recap" deliverable with your client, you can:

  • edit any section manually

  • ask Vega to rewrite or expand specific sections

  • review supporting sources

  • run a compliance review

  • export it as a branded PDF or Word document

This lets you spend your time reviewing instead of writing.

Why share a "Meeting recap" PDF with clients

Confirm the conversation

It’s common for people involved in the same conversation to remember it differently.

A "Meeting recap" deliverable creates a shared record of what was discussed so both you and your client are aligned on the key topics, recommendations, and decisions. This helps reduce misunderstandings and provides a useful reference if questions come up later.

Clarify action items

Every meeting usually ends with someone needing to do something.

That might include:

  • paperwork to complete

  • documents to send

  • follow-up meetings to schedule

  • planning tasks for the advisor

  • action items for the client

A "Meeting recap" deliverable clearly identifies who is responsible for each next step, making follow-up much easier for everyone involved.

Make important details easier to remember

Conversations with clients often cover a lot of information.

Rather than expecting clients to remember every recommendation, number, or planning discussion, a "Meeting recap" deliverable gives them a document they can revisit whenever they need it.

This helps reinforce important conversations long after the meeting has ended.

Create a more professional client experience

Following up with a polished "Meeting recap" deliverable demonstrates organization, attention to detail, and thoughtful follow-through.

Instead of sending a quick email or relying on handwritten notes, you’re providing clients with a professional document that reflects the quality of your advice and reinforces confidence in your planning process.

Create supporting documentation

"Meeting recap" deliverables also create a valuable written record.

They document:

  • recommendations

  • planning discussions

  • important decisions

  • agreed-upon next steps

This can be useful for future reference, internal documentation, and compliance workflows.

Make future meetings more productive

Before your next meeting, both you and your client can quickly review the previous recap.

Instead of spending the first part of the meeting trying to remember what happened last time, you can immediately continue the conversation where you left off.

That means more productive meetings and less time retracing previous discussions.

A practical way to think about it

A great client meeting shouldn’t end when everyone leaves the room.

A "Meeting recap" deliverable extends the value of that conversation by giving both you and your client a clear record of what was discussed, what was decided, and what happens next.
