Sidebar AI assistant

Most of the time, your work around a meeting does not happen in isolation. You prepare, you run the meeting, you review notes, you follow up, and you update your CRM.

The meeting page in Vega centralizes all of that. The sidebar chat extends it.

Instead of switching between tools or starting a separate chat, you can interact with Vega directly within the context of a specific meeting. This allows Vega to reason with:

  • the clients linked to the meeting,

  • the meeting title and metadata,and all outputs already generated for that meeting.

The result is faster answers, more relevant context, and the ability to move from insight to action without leaving the meeting page.

How to open the sidebar chat

You can open the sidebar chat from the meeting page in three ways.

1. Push-to-Talk

The fastest way to open the sidebar chat from the meeting page is to use Push-to-Talk (PTT). Press and hold the space bar on your keyboard and speak naturally instead of typing.

Vega will open the sidebar chat and create a new thread with page context, then immediately respond to your request.

A thread with page context on the meeting page means:

  • the clients linked to the meeting are automatically linked to the thread,

  • Vega is aware of the meeting you are currently viewing,

  • and Vega has access to all outputs generated for that meeting. This includes:

    • pre-meeting preparation sheet,

    • pre-meeting reminder email,

    • post-meeting summary notes,

    • post-meeting follow-up email,

    • post-meeting suggestions,

    • and the meeting transcript.

2. Click the AI icon

When you are on the meeting page (or any page outside of the chat page), an AI icon appears next to the record button in the top-right corner of the platform.

Clicking this icon opens the sidebar chat from your current page.

This will open a new thread with page context.

FYI: There could be instances where you already have an active thread from earlier use of the Vega chat during the day, and Vega will reopen that thread instead. You can always start a new chat from there by closing this existing thread and opening a new one to work with the current meeting context.

3. Click the (+) icon → New chat

Last but not least you can open the sidebar chat on the meeting page by clicking the (+) button at the top right of the Vega web platform and selecting New chat.

This will also open a new thread with page context.

Using the sidebar chat

The sidebar chat turns the meeting page into a working environment where you can ask questions, validate information, and create records in real time.

Ask questions about the meeting

You can ask Vega questions to better understand what happened in the meeting or clarify specific points.

Examples:

  • “What were the main decisions made in this meeting?”

  • “Summarize the investment discussion in three bullets.”

  • “What action items came out of this conversation?”

Ask questions about the client or household

Because the clients linked to the meeting are automatically attached to the thread, you can go beyond the meeting itself.

Examples:

  • “What do we already know about this client’s retirement timeline?”

  • “Compare what was discussed in this meeting with prior interactions.”

  • “Has this topic come up before in past meetings?”

Vega will retrieve and reason across past meetings, notes, emails, and CRM data to provide a complete answer.

Chat with your meeting transcript

Another powerful use case of the sidebar chat is interacting with the meeting transcript.

When you ask a question about the transcript, Vega not only answers but also provides a link that takes you directly to the exact moment referenced.

This is especially useful when your meeting templates intentionally exclude certain types of information.

For example, your Plan Review template may avoid including personal details. However, during the meeting, the client may have mentioned something relevant that you want to capture.

You could ask:

  • “Did Clark mention traveling to Spain during the meeting? If yes, when and where exactly?”

Vega will answer and provide a link that jumps directly to that moment in the transcript.

This allows you to verify information quickly and decide whether it should be reflected in your meeting notes or CRM.

Create records directly from the meeting context

The sidebar chat is not only for questions. It is also a direct way to create records.

After a meeting, Vega already generates post-meeting suggestions such as:

  • post-meeting summary notes,

  • follow-up email,

  • tasks,

  • and contact updates.

However, there are situations where you want to create additional records that were not part of those suggestions.

For example, continuing with the previous scenario:

  • “Create a note that Clark and Linda are traveling to Spain in two weeks and will be back mid-May.”

Another example:

  • “Create contact records for Clark’s kids: Julia Everson (DOB: 3/17/2019) and Matt Everson (DOB: 9/6/2022).”

Vega will prepare those records for you so you can review and sync them to your CRM.

A practical way to think about it

The meeting page gives you structured outputs.

The sidebar chat gives you flexibility on top of those outputs. Together, they allow you to understand what happened, validate details, retrieve additional context, and create or update records... all without leaving the meeting.
