Customize your firm

The Firm page is where you can manage information and settings that apply across your entire firm in Vega.

There are three sections you can customize:

  • Information: your firm's information and primary contacts

  • Tags: shared tags used to organize your firm's Knowledge

  • Branding: your firm's colors, fonts, and logos

  • Settings: firm-wide features and data retention

Setting these up helps Vega better understand your firm and create content and client deliverables that reflect your firm's information and branding.

Who can access the Firm page?

Only users with admin permissions can access and make changes to the Firm page.

Information

The Information tab contains general information about your firm and your primary contacts.

You can manage:

  • Firm name: Your firm's name.

  • Description: A description of your firm, what you do, who you serve, and any other information you want Vega to know about your firm.

  • Website URL: Your firm's website.

  • Primary contact: The first name, last name, and email address of your firm's primary point of contact. By default, this is the first user who created a Vega account under the firm.

  • Compliance contact email: The email address used for Vega's compliance-related features (read article: Email compliance review).

We recommend adding a detailed Description rather than just a few words. The more relevant context Vega has about your firm, the better it can understand your business and reflect that context when assisting your team.

To make changes, click "Edit", update the information, and click "Save."

Tags

The Tags tab allows your firm to organize tasks and documents uploaded to the Knowledge Center.

For example, your firm could create tags for:

  • Compliance

  • Investment philosophy

  • Financial planning

  • Client education

  • Marketing

  • Internal procedures

Because tags are managed at the firm level, your team can use a consistent set of tags to organize tasks and find documents in the Knowledge Center.

To add a new tag, go to the Tags tab and click "Create."

Branding

The Branding tab allows you to customize Vega-generated documents and client deliverables to match your firm's brand.

You can customize your firm's colors, fonts, and logos.

Colors

You can configure the following colors:

  • Primary

  • Secondary

  • Success

  • Warning

  • Error

  • Text

  • Cover background

  • Cover text

  • Cover primary

Colors are entered using hex color codes. If you have brand guidelines, we recommend using the exact hex codes provided there to keep your Vega-generated documents consistent with the rest of your firm's branding.

Fonts

You can select:

  • Heading font

  • Body font

If your firm uses a custom font that isn't currently available in Vega, reach out to [email protected], and our team can help.

Logos

You can upload three different versions of your firm's logo:

  • Square logo: For best results, use a PNG with a transparent background, no padding, a 1:1 aspect ratio, and a maximum file size of 2 MB.

  • Horizontal logo: For best results, use a PNG with a transparent background, no padding, and a maximum file size of 2 MB.

  • Cover logo: For best results, use a PNG with a transparent background, no padding, and a maximum file size of 2 MB.

Settings

The Settings tab contains firm-wide features and data retention rules.

Meeting assets

This is where you set your firm’s retention policy for meeting recordings and transcripts.

  • Auto-delete transcripts and recordings: When enabled, Vega permanently deletes meeting transcripts and recordings once they reach the age you set.

  • Delete after: The retention window is 0, 7, 14, 30, 60, 90, 180, or 365 days. Zero days means transcripts and recordings are not kept at all.

  • Include preparation and analysis: By default, only transcripts and recordings are deleted. Turn this on to delete meeting preparations and meeting notes on the same schedule.

Deletion is permanent and cannot be undone, so we recommend agreeing on a retention window with your compliance team before turning this on.

Compliance reviews

  • Compliance reviews: When enabled, Vega runs a compliance review on meetings and sent emails, and sends flags to your firm’s compliance contact email (set on the Information tab).

  • Copy the user: Copies the user on the flag emails sent to your compliance contact.

Client deliverables are always reviewed, whether or not this setting is on, and those flags stay on the deliverable itself.

Compliance reviews run for users on Pro. Turning the feature on does not review meetings or emails from users who are not on Pro. During a trial, everyone is on Pro, so it covers the whole firm (read article: Core vs Pro).

Client enrichment

  • Client enrichment: When enabled, Vega builds a living story for your contacts and households and keeps it up to date as new information comes in.

  • Contact living story: A template that guides the layout of living stories for individual contacts.

  • Household living story: A template that guides the layout of living stories for households.

Both templates are optional. Vega has sensible defaults, and clearing a template restores the default. Use them when your firm wants living stories to follow a specific structure.

Like compliance reviews, client enrichment applies to users on Pro. Turning it on does not enrich contacts or households belonging to users who are not on Pro; during a trial it covers every client (read article: Core vs Pro).
