A lot of operational friction in advisory work comes from one simple problem: next steps get scattered.
A follow-up task may arise from:
a meeting
an email
a quick note to yourself
a conversation with a colleague
But if that task is not captured in a system quickly, it becomes easy to lose, delay, or duplicate.
This is why task management matters.
Tasks in Vega allow you to:
track what needs to happen next
assign work clearly
connect tasks to the right client or household
keep operational follow-up close to the rest of the client context
Tasks in Vega
A task in Vega can include both required and optional fields.
Required fields:
Task name
Due date
Priority (Low, Normal, High)
Assignee
Optional fields:
Description
Status (Not started, In progress, Waiting, Blocked, Cancelled, Completed)
Recurrence (None, Daily, Weekly, Every 2 weeks, Monthly, Quarterly, Yearly)
Linked client
Linked household
This gives you enough structure to manage straightforward follow-ups as well as more recurring operational work.
How to create a task
There are several ways to create tasks in Vega depending on where the task originates.
Manually
You can create a task manually by clicking the (+) button at the top right of the Vega web platform and selecting Task.
This is useful when:
you already know the task details
the task did not come from a meeting or email
you want full control from the start
Chat threads & Push To Talk (PTT)
You can also create a task directly from a Vega chat thread.
For example, you can type or dictate (by pressing and holding the space bar on your keyboard):
“Create a task to follow up with Ben Lewis next Thursday about his Roth conversion.”
Vega will generate the task with the relevant fields populated for your review.
This is one of the fastest ways to create tasks because you can describe the task naturally instead of filling each field manually.
Post-meeting tasks
After a meeting, Vega can suggest tasks as part of the post-meeting analysis.
This is useful when:
action items were discussed during the meeting
follow-ups need to be tracked right away
you want the meeting to directly generate operational next steps
These suggested tasks can then be reviewed, edited, and created.
Vega AI Email Assistant
Tasks can also be created from your inbox through the Vega AI Email Assistant (Vega Outlook plugin or Vega Gmail assistant).
For example, after reading an email, you can ask Vega to:
create a follow-up task
create a reminder based on the email
assign the task to yourself or someone else
This is especially useful when a client request arrives by email and you want to capture the follow-up immediately without leaving your inbox.
Managing tasks
The main task management happens from the Tasks page in Vega.
From there, you can filter tasks by:
Name
Status
Assignee
Timing view such as upcoming, overdue, or all
You can also choose how to view tasks:
List view by date: This is useful when you want to focus on deadlines and upcoming work chronologically.
Column view by status: This is useful when you want a more workflow-oriented view of tasks moving from one stage to another.
You can now also edit some of the most important parts of a task directly from the task list view, without opening the full task page first.
This includes:
Due date
Priority
Status
That makes it much faster to update tasks in bulk as your day changes.
Due date
Priority
Status
Inside a specific task
When you open an individual task, you can edit all of its fields.
You can also add comments to a task. Comments can be added by typing or dictating.
This is especially useful when a task involves:
multiple steps
multiple people
status changes over time
internal collaboration around how the task should be completed
In other words, the task can become not only a reminder, but also a small workspace for execution and coordination.
