Bot recordings for virtual meetings

The meeting bot for virtual meetings is currently a Beta version and available only to firms who request access. This article explains how to schedule, manage, and customize the Vega meeting bot.

Scheduling the meeting bot in Vega

You can schedule the bot from any meeting in the Meetings page.

  1. Open a meeting.

  2. Click the Bot button on the right side of the page (next to Record).

Clicking the Bot button opens a configuration card with the following fields:

  • URL:

    • If your calendar event is a Zoom, Google Meet, or Microsoft Teams meeting, the URL field is automatically populated with the meeting link.

    • For all other meetings or manually created meetings in Vega, the field will be empty. You can paste any valid meeting link.

  • Join now:

    • A toggle that determines whether the bot should join immediately.

      • Off (default): The bot will join at the scheduled meeting time.

      • On: The bot joins as soon as you click Schedule bot.

  • Join at:

    • This determines when the bot should join. By default, the date and time match the calendar event, but you can edit these values if you’d like the bot to join earlier or later.

Inactivity timeout: If the bot joins a meeting and no participants are present, it will automatically leave after 5 minutes.

Stopping the bot recording

Once scheduled, the bot will join the meeting at the configured time and remain until the meeting ends.

You can also manually remove the bot at any time:

  1. Open the meeting in Vega.

  2. Click the Bot button again.

  3. Select Remove bot.

Customizing meeting bot settings

You can configure your bot settings directly in your Vega settings:

  • Meeting bot name: By default, the bot appears in meetings as “First name’s notetaker (Vega)”. You can customize this label.

  • Automatically send bot to meetings: When enabled, Vega automatically sends a bot to your Zoom, Google Meet, or Microsoft Teams meetings whenever a meeting prep has been generated.

Reminder: Automated meeting preparation is triggered when one or more contacts are linked to the meeting. You can also run meeting preparation manually in Vega.

Supported meeting platforms

The current Beta version of the Vega meeting bot supports:

  • Zoom

  • Google Meet

  • Microsoft Teams

Request access for your firm

Since Vega’s primary approach to virtual meetings does not rely on bots, bot recording is available only upon request.

If your firm would like this feature enabled: email [email protected] and ask to enable meeting bot access. Our team will activate it for all users in your firm.
