Preferences

The Preferences tab controls how Vega works around you: what timezone it schedules in, which notifications reach you, and who in your firm can see what you create. It is split into three sub-tabs: General, Notifications and Access & sharing.

General

  • Timezone: your working timezone. Vega uses it to interpret and express every date and time it produces: meeting reminders, preparation timing, daily briefings, and any time it proposes in an email draft.

  • Calendar links: your scheduling links (Calendly, Microsoft Bookings, or any other booking page), one per line. You can add a short label so Vega knows which is which, for example “30-minute intro call” and “Annual review, 90 minutes”. When Vega drafts an email that needs a time to be booked or a meeting to be rescheduled, it inserts the appropriate link instead of inventing availability.

Support

  • Support notifications: lets Vega detect when you appear to be stuck or using a feature in a way that will not give you the result you want, and send you a short note about it.

  • Public usage insights: allows anonymized usage data to be used to improve the product. No client data or identifiable content is included.

Notifications

Each of these is an independent switch. All of them are delivered to the email address on your Profile tab.

These settings are used primarily by users who use Vega as their AI CRM.

  • Daily briefing: a morning email summarizing your upcoming meetings, your open tasks, and what you should prepare for the day.

  • Task reminders: a daily notification listing your overdue Vega tasks.

  • Task assignment notifications: a notification each time a colleague assigns you a Vega task.

  • Comment mention notifications: a notification when someone mentions you in a comment.

Access & sharing

This sub-tab is about visibility inside your firm. Vega is private by default: what you create is yours until you share it.

Default access

Automatically grant these users and teams access to the records you create in Vega: contacts, households, meetings, notes and the rest. It saves you from sharing each new record by hand.

  • Default users: the colleagues who should see everything you create. A typical setup is your service associate and your planning partner.

  • Default teams: the same, for whole teams. See the Teams tab to create and manage teams.

  • Visible to everyone in the firm: makes new records visible to all Vega users at your firm. Use this only if your firm works fully transparently.

Important: changes here apply to new records only. Records that already exist keep the access they were given when they were created, so widening your defaults does not retroactively expose past work.

Client message sharing

This setting is about your emails, and it behaves differently from default access: it applies to both existing and future messages you own.

  • Share emails with users: the colleagues who can see your client messages.

  • Share emails with teams: the teams who can see your client emails.

  • Everyone with client access: allows anyone at your firm who already has access to a linked contact or household to see your emails with that client.

In every case, sharing only applies to emails that are linked to a contact or household. Emails with no linked client (personal email, internal threads, anything Vega could not attribute to a client) are never shared by this setting. A colleague also has to have access to the client in the first place: this setting widens visibility within that boundary, it does not grant access to clients they cannot already see.
