Teams

The Teams tab is where you can create, edit, and delete teams. A team is a named group of colleagues you can share with in one step. Instead of listing five people every time you set up default access, a meeting type or an email draft, you share with the team, and anyone added to that team later inherits the same access automatically.

The list

Teams are listed alphabetically, each showing its member count and description. Click a team to open it. Everyone can view teams and their members; only users with admin permissions can create, edit or delete them. If you are not a user with admin permissions, the team opens in read-only mode as Team details.

Creating a team (users with admin permissions)

Click New and fill in:

  • Name (required): how the team appears everywhere it can be picked, for example “Planning Team” or “Smith Household Service Team”.

  • Description (required): what the team is for. Keep it short and concrete; it is shown next to the name in the list.

  • Members (at least one required): search for colleagues and add them.

All three are required before the team can be saved.

Editing and deleting (users with admin permissions)

Open a team to rename it, change its description, or add and remove members.

Deleting a team removes it permanently and cannot be undone. Anything that was shared with the team (records, meeting types, drafts) loses that route of access, so check what depends on a team before removing it.

Where teams are used

Once a team exists, it can be selected anywhere Vega asks who should have access:

  • Preferences > Access & sharing: default teams for the records you create, and teams you share client emails with.

  • Meeting types > Sharing: teams that receive preparation sheets and meeting notes, and are notified about them.

  • Emails: teams your email drafts are shared with and notified about.

  • Meeting types: a meeting type can belong to a team, so members can use and edit it.
