Re-running meeting outputs

In practice, meetings evolve. Context changes, new information comes in, and sometimes the initial output is not exactly what you need.

Vega is designed with this in mind. You are not locked into the first version of a pre-meeting preparation sheet, reminder email, post-meeting summary note, or follow-up email.

At any point, you can re-run a meeting output to reflect updated context or make targeted adjustments.

This applies to both:

  • Pre-meeting outputs (pre-meeting preparation sheet and pre-meeting reminder email)

  • Post-meeting outputs (post-meeting summary notes and post-meeting follow-up email)

  • Each re-run pulls the latest available data and re-evaluates the meeting configuration.


Change the meeting type

The meeting type determines the structure and templates Vega uses to generate outputs (read article: Meeting types).

If the wrong meeting type is selected, the output may not follow the format or level of detail you expect.

When re-running an output with a different meeting type, Vega regenerates the output using the templates associated with that meeting type. To do this:

  1. Click Edit in the top right corner of the meeting page

  2. A side panel will open where you can edit the meeting details

  3. Update the Meeting Type field (1 in the visual below)

  4. Click Save in the bottom right (2 in the visual below)

  5. Once the changes are saved, click the Re-run icon (3 in the visual below)

This is especially useful when:

  • The meeting was initially misclassified

  • The purpose of the meeting changed

  • You want to apply a different structure (for example, switching from a Prospect meeting to a Plan Review)

Change the meeting owner

A pre-meeting preparation sheet, a post-meeting summary note, and a post-meeting follow-up email prepared by the Vega AI are only as good as the context the Vega AI can access. In particular, the Vega AI needs to know who the real owner of the relationship is (main decision maker regarding financial planning decisions, main point of contact for the client, primary manager of the client relationship). And the Vega AI needs to adopt their point of view.

The Meeting Owner (read article: Meeting User(s) and Meeting Owner) is the single Meeting User whose point of view is adopted by the Vega AI across the meeting outputs (pre-meeting preparation sheet, post-meeting summary note, post-meeting follow-up email).

Concretely, the AI will:

  • Use the CRM data the Meeting Owner has access to for the meeting contacts, in order to gather helpful context around the meeting

    • It will not use the CRM data other Meeting Users' have access to that the Meeting Owner can't access

  • Look into emails sent by the Meeting Owner to the meeting contacts and received by the Meeting Owner from them, in order to gather additional context and adopt the Meeting Owner's writing style and tone for the post-meeting follow-up email draft

The Meeting Owner is also the single Meeting User whose meeting types and corresponding meeting templates can be selected for the meeting. Other Meeting Users will only be able to run a meeting according to the meeting type selected among the types available to the Meeting Owner.

When re-running an output with a different Meeting Owner, Vega regenerates the output using the correct data and perspective. To do this:

  1. Click Edit in the top right corner of the meeting page

  2. A side panel will open where you can edit the meeting details

  3. Update the Owner field (1 in the visual below)

  4. Click Save in the bottom right (2 in the visual below)

  5. Once the changes are saved, click the Re-run icon (3 in the visual below)

This is particularly important when:

  • The relationship owner was not correctly identified

  • Multiple advisors are involved in the meeting

  • You want the output to reflect a specific advisor’s tone and context

AI Rewrite ("magic wand")

Re-running is not the only way to refine outputs.

For more targeted adjustments, you can use the “AI Rewrite” feature directly from the meeting page.

From the meeting page, you can ask Vega to rewrite the post-meeting summary notes with simple instructions, for example:

  • "Make the Retirement Planning section more detailed."

  • "Reduce narrative and keep only facts and outcomes for the Investments section."

  • "Add a short 'Decisions made' section at the top."

  • "Turn this section into concise bullet points only."

  • "Update the client name from John to Jane throughout the notes."

  • "Summarize the insurance discussion in three bullets max."

This allows you to quickly adjust the output without editing line by line or changing your template.

Think of rewriting as a way to fine-tune a specific meeting’s output, while templates define your long-term default structure.

Rewriting is best used for targeted edits within a single meeting, while re-running is used when you want Vega to regenerate the output with a different configuration or updated context.

A practical way to think about it

There are three levels of control when working with meeting outputs:

  • Meeting type → defines the structure

  • Meeting Owner → defines the data and point of view

  • AI Rewrite → refines the output after generation

Together, these give you full control over how Vega prepares, documents, and follows up on your meetings.
